One-to-one lessons and booking links

For one-to-one lessons, either set a fixed weekly time yourself, or send the parent a booking link so they choose times when you're free.

A fixed weekly time

  1. Go to Recurring and tap New repeating slot.
  2. Choose the Student and Type, how often to Repeat (every week, up to every 4 weeks), the Day, Time and Minutes.
  3. Set Starting, and an End date if there is one. Add a Location if you like, then tap Save.

Lessons go on the calendar 12 weeks ahead and keep extending by themselves. To change the time, open the slot on Recurring and pick the date it's Effective from: earlier lessons stay as they were. To stop, choose the date the lessons stop from. You can also set Repeat when you add a New appointment on the Calendar.

Booking links

Go to Links and tap New link (or, on Students, open the ⋯ menu on a student and choose Send booking link). There are two kinds:

  • Permanent (reuse weekly): one link per student, used every week. Set how many lessons a week, How far ahead they can book, and a Weekly reminder if next week isn't booked yet.
  • One-time: for a set period, such as a few trial lessons or a replacement lesson. It expires by itself.

For both, set:

  • Book at least (hours ahead): how late they can book.
  • Move/cancel up to (hours before, 0 = any time): your notice for changes.
  • Times the client may choose from. These start from Settings › Schedule › Availability.

Tap Create link. A message with the link is ready to send with WhatsApp or Copy, and Preview what the client sees shows you their page.

What the parent can do

  • Choose times. Only times you're really free are shown: taken slots, days off, holidays and your unavailable times are hidden.
  • Change time or Cancel a lesson, up to the notice you set. Any closer, the page asks them to message you instead.
  • Request an extra lesson. It's held as a request: open it on your Calendar and tap Approve or Decline.
  • Subscribe in Calendar, so lessons show in their phone's calendar and stay up to date.
  • Open Past lessons: what was covered, the homework and your comments from each lesson.

You're told whenever they book or change, and a confirmation for the parent is prepared in Messages.

After each lesson

Lessons waiting to be logged are under To do › Past lessons. Tap Log lesson and choose Held, No-show (no charge) or Didn't happen (no charge), with what you covered. Only lessons marked Held are billed. See Fees, prepaid packs and invoices.
