Messages to parents and WhatsApp
MyTuitionClass writes the messages parents need, in your centre's name. You send each one from your own WhatsApp with a tap, so parents see your number and you check every message before it goes.
Sending a message
- Go to Messages. The To send tab lists everything waiting, and the menu shows how many.
- Read the message. You can change the text in the box first.
- Tap WhatsApp. WhatsApp opens on your phone or computer with the parent's chat and the message ready. Press send there.
Other buttons on each message: Copy, Email (when the parent has an email saved), Sent if you've already sent it another way, and the archive button to dismiss it. Dismiss all clears the list. If no number is saved, WhatsApp asks you to pick the chat.
The Alerts tab is for you: new sign-ups, bookings, funds running low. The Sent tab keeps what's gone.
Messages aren't sent automatically. Each one waits in Messages until you send it. Settings has Manual and Auto for each kind of message, but for now everything is prepared for you to send, whichever you choose. Sending by itself from your centre's own WhatsApp number is coming.
Tip: connect Telegram under Settings › Notifications, and each message also comes to you there with a button that opens WhatsApp.
What gets prepared
- Class reminders before each lesson. Set them in Settings › Messages to parents › Class reminders: how long before, Off or Manual, and Remind me too for your own reminder.
- Booking confirmations and changes, and weekly reminders to book from permanent booking links.
- Sign-up replies: the trial booked, the payment link, and the welcome.
- Top-up links, monthly statements and unpaid fee reminders.
- Lesson summaries, after you take the register or log a lesson.
Change the wording
- Go to Settings › Messages to parents › Message wording.
- Tap Edit on any message.
- Change the words. Details in curly brackets, like
{when}for the lesson time, are filled in for each parent; tap one under Details you can use to add it.*bold*,_italic_and~strikethrough~show as formatting in WhatsApp. - Check the preview and tap Save. Built-in wording puts the original back.
You can write your messages in Bahasa Melayu or Chinese this way. To change how messages introduce you ("Hi Mrs Tan, this is…"), set Your name in messages to parents under Fees and payment details.
Announcements
- On Messages, tap Announcement.
- Write a Heading and the Message, such as a holiday break.
- Choose who it's for: All students, A class or Chosen students.
- Tap Prepare (the button says how many families). Each family gets one message, even with several children, ready in To send. You also get one post to copy into a class group chat.
