Import your students from a spreadsheet

If your students are already in a spreadsheet, bring them all in at once. Their parents come in with them, and brothers and sisters are linked to the same parent.

Steps

  1. Go to Students and tap Import.
  2. Tap Download the template and fill it in, in Excel or Google Sheets, one student per row. Your own spreadsheet works too, as long as its headings match the ones below.
  3. Save it as a CSV file and tap Choose a CSV file. Or copy the rows, including the heading row, and paste them into the box.
  4. Tap Check. You see every row and what will happen to it: added, already here (skipped), or a problem to fix.
  5. Tap Import (the button shows how many students will be added).

The columns

The first row must be the headings. Only Student name is needed; the order doesn't matter, and columns with other headings are ignored.

HeadingWhat to put
Student nameRequired. Name or Child work as headings too.
Student WhatsAppThe student's own number, if they have one.
Parent nameFor example Mrs Tan. Needed whenever you give a parent's number.
Parent WhatsAppThe parent's number. The same number on two rows means the same parent.
Parent emailOptional.
Rate (RM)Their fee for one-to-one lessons, such as 60. "RM" and commas are fine.
Persession, hour or month. Empty means session.
Billingmonthly (billed after the lessons) or prepaid (they pay into a fund first). Empty means monthly.
Lesson length (min)For example 90.
ClassThe exact name of a class you've already added on the Classes page.
Messages toparent or student. Empty means the parent, when there is one.
Online class linkTheir Google Meet or Zoom link.
NotesAnything else. Only your team sees these.

An example

Student nameParent nameParent WhatsAppRate (RM)PerBillingClass
Aina ZulkifliPuan Rohana012-345 6789prepaidForm 3 Maths
Ryan LimMrs Lim016-222 334480hourmonthly
Chloe LimMrs Lim016-222 334480hourmonthly

Aina joins Form 3 Maths and pays for her sessions from a prepaid fund. Ryan and Chloe share a parent, so Mrs Lim gets one statement for both of them.

Good to know

  • Importing the same file twice adds nothing: a student with the same name and parent is skipped.
  • Rows with a problem are left out. Fix them and import just those rows again.
  • You can import up to 500 students at a time.
  • Your plan's limit on active students applies, and rows past it are turned away. See Plans, trial and billing.
  • Using the Class column? Add the classes first, on Classes.

Rather not do it yourself? Bringing your students in is free on every plan: email us your spreadsheet and we'll do it with you.
